    The DeKalb County School District is seeking an experienced and professional Regional Executive Assistant.
    Salary Grade/Schedule: Unified 116

    Title: Regional Executive Assistant
    Under direct supervision of the Executive Director or Regional Superintendent, and using standardized procedures, performs widely diverse and complex administrative office support as assigned.
    Essential Functions:
    The following duties are representative for this position. The omission of specific statements of duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
    • Communicates in person and through other forms of correspondence with selected contacts internal and external to the DeKalb County School District (DCSD) on behalf of supervisor; receives and screens office visitors and telephone calls; identifies matters requiring priority handling and brings them to attention of supervisor; receives and refers concerns raised by students, parents, personnel or other constituents; advises persons expressing concerns of resolution options after conferring with supervisor or in accordance with procedures established by supervisor.
    • Maintains departmental personnel/position-related paperwork which may include, but not limited to, attendance and payroll records, duty assignments, vacation leave requests, sick leave, other statements of absences, and monthly travel requests and reimbursements.
    • Orders and maintains supplies and equipment including any relevant inventory logs; executes purchase orders for work unit; and ensures timely payment of all purchases through management of payment process in accordance with established school system guidelines.
    • Prepares meeting agenda; records minutes at meetings; and prepares physical setting for meetings.
    • Conducts basic research to assist supervisor in the preparation of responses to inquiries or development of reports or other correspondences; assists supervisor with a variety of administrative support matters; obtains, compiles, organizes and prepares information and data for various reports and meetings; and ensures information packages are complete and meet guidelines for submission.
    • Creates and prepares draft versions of correspondences for approval of supervisor prior to dissemination; takes dictation from supervisor; uses electronic devices to transcribe and prepare correspondences on behalf of supervisor; transcribes confidential material; and prepares various correspondences that are edited and proofread.
    • Schedules appointments for supervisor and maintains supervisor’s calendar/schedule, in accordance with procedures established by supervisor.
    • Manages incoming and outgoing mail; and organizes and assembles materials for outgoing distribution to internal and external stakeholders.
    • Maintains work unit filing system; and maintains filing system and suspense filing system for supervisor.
    • Processes work orders and other documents requiring office procedural knowledge.
    • Proficient in computer usage and programs, i.e., Excel, Microsoft, PowerPoint, Publisher, ESIS, GUI/Terms and Munis.
    • Maintains electronic version of budget data for office in accordance with District procedures and procedures established by supervisor.
    • Performs other duties as assigned.
    MINIMUM QUALIFICATIONS
    • High school diploma or GED equivalent, with a minimum of five (5) years’ experience in an executive-level office management setting is required.
    • Bachelor’s degree in area relative to office administration, accounting, or technology from a Professional Standards Commission approved accredited college or university, with a minimum of three (3) years’ experience in an executive-level office management setting is preferred.
